A Toolkit For Helping You Understand The Different Aspects Of Assigning Work

Concept:

Work in modern organisations is becoming:

  • More diverse
  • Offering greater responsibility
  • Constantly changing
We often carry out the wrong work because we misunderstood the original instructions, e.g. we see it as a task but in fact, it was given as a responsibility.  Equally, we get the wrong work done because we gave the wrong work away. This happens subconsciously as, in the heat of the moment we are unaware of the choices we are making.  If we can be more explicit about what we want we will reduce role confusion and increase efficiency and improve everyone’s work satisfaction.

Study by Dr.Meredith Belbin into how time is spent at work suggests the need to distinguish between seven work types.

Four of these work roles relate to how work is set up, comprising

  • Two types of task
  • Two forms of responsibility

We give each of these a separate colour.

Three other types of work role lie outside the set up of work.  This additional work comprises

  • Work-activity incidental to the job
  • Time spent on work-activity considered by the jobholder to have no contributory value
  • Work, which expands what the job, can deliver.
These seven work roles are colour-coded.  The aim of Assignment is to improve insight into how jobs are best set up while at the same time to foster the skill of delivering more from one’s own job.

Benefits Of Using Assignment:

Identify the different types of work in your job role.
Help you understand your own working style.
Introduce work assessment diagrams.
Provide an opportunity for you to review the balance of work in your role.
Identify where you waste time.
Understand how work is distributed in a team.
Develop your skills in assigning work.

The manual provides ten different exercises.  This enables work roles to be understood and assigned in a variety of environments.  It can be delivered as a one day event, integrated into management development or project management or purchased as a separate manual
